APPENDIX A: Consent to Collection, Use & Disclosure of Information
INFORMATION
The word “Information” means credit information, personal information, information about the services you use that are provided, as listed in this rental application and information relating to your tenancy at the premises applied for in this rental application including information regarding the duration of your tenancy, monthly rent, emergency contacts and any matters relating to your lease/tenancy agreement, including misrepresentations relating to defaults under and for breaches of your lease/tenancy agreement.
“Credit information” means information about you including your name, age, date of birth, occupation, place of residence, previous places of residence, occupancy length, marital status, co-occupant’s / spouse’s / same sex partner’s name and age, number of dependents, particulars of education or professional qualifications, field of employment, places of employment, previous place of employment, employment durations, estimated income, paying habits, outstanding debt obligations, cost of living obligations, credit card information.
“Personal information” means information about you other than credit information that is relevant to your suitability as a tenant, including your social insurance number, driver’s licence number, vehicle licence plate number, vehicle make and year, and information from references which you provide about your character, reputation, physical or personal characteristics or mode of living or about any other matter concerning you that is relevant to your suitability as a tenant.
COLLECTION, USE & DISCLOSURE OF INFORMATION
The information collected from you is used for the following purposes:
- To transmit such information to tenant check and/or credit or consumer report services to obtain credit information about you and to otherwise determine your suitability as a tenant.
- To contact you or your emergency contact to discuss matters pertaining to your tenancy or in the event of an emergency.
- To facilitate the orderly parking of vehicles at the building.
- To use or transit such information to cable, telephone or other utility companies to facilitate your connection and use of their services.
- To provide tenancy conduct information to other landlords in respect of your application for a future tenancy.
- To use and disclose information to agencies contracted by our company to facilitate collection of debts owing.
- To disclose existing tenancies to financial institutions who are lending or may lend money against the building.
APPENDIX B: Policies Respecting the Collection, Use & Disclosure of Information
We will collect various types of personal and credit information from tenants as indicated on the Rental Application Form.
Information collected from tenants will only be used for the purposes set out in the Consent Form signed by the tenants.
Information collected from tenants is kept confidential and physically secure in locked premises.
Tenants have the ability to withdraw their consent to use information about themselves at any time. Such withdrawal of consent to use certain information about you may cause the Manager to terminate your tenancy if it is determined that such withdrawal prevents the Manager from properly managing the affairs of the building.
Information collected from tenants is kept for a period of seven years after the tenancy is terminated at which time it is destroyed.
Tenants are entitled to a copy of all information collected about themselves from the Manager of their building.
